Data & Privacy Notice – Candidates

As a Candidate being trained by RSM Commercial Driver Training we require you to read and approve our GDPR Notice outlined below by completing the form at the bottom of the page.

In accordance with the General Data Protection Regulations (2018), RSM Driver Training Ltd is committed to processing data fairly and lawfully. This relates to data collected about our employees, suppliers and customers.

That’s why, as a CANDIDATE we promise to:

  • Only hold information about you that is relevant and necessary for the services we supply you
  • Keep your data secure and once it is no longer needed, destroy all records
  • Be transparent on what information we hold about you, who it is shared with and why
  • Let you decide if you would like to receive future contact from us or not

RSM will collect data from you and your employer/booking agent. If you have been booked with us through a third party we will assume that they have your consent to process and submit your personnel data for the purposes of booking your training and relevant appointments.

What information we collect and how it is stored

Once a booking has been made with us, we will collect certain information from yourself and/or employer/booking agent for the purpose of carrying out our business with you. This information may include:

  • Full name, address and contact details
  • Who you work for/have been booked with us by
  • Date of birth
  • Driving licence number
  • National Insurance Number
  • Licence category booked for
  • Signed ‘Pupil Record’ document

We will hold any information securely on our systems for the duration of your training with us. After this time, unless you have ‘opted in’ to future correspondence, the information will be destroyed securely.

Who we share information with and why

As part of your booking with us, it may be necessary for us to share your details with companies outside of RSM.

These organisations may be:

  • Approved driver medical companies (for the purpose of obtaining documentation to support a provisional licence applications)
  • Pearson VUE Professional Testing Centres (for the purpose of booking Theory Multiple Choice, Hazard Perception and CPC Module 2 tests
  • Driving & Vehicles Standards Agency (for the purpose of booking practical driving and CPC Module 4 tests)
  • Other training companies we work with (for forklift, HIAB and ADR training bookings only)
  • Your employer/booking agent (if they made the booking)

Pupil Record Sheets

When attending a driver training course with us, you will have a personal ‘Pupil Record’. This will be completed daily by you and our instructor It will hold details of your training dates, what training you are attending, progress and your feedback.

In addition identifiable information such as driving licence and contact number will be kept on this. This document is kept with your instructor/s for the duration of your course.

Once your course is finished this document is scanned and securely stored on our system along with (if applicable) a copy of any DL25 examination report and/or Pass Certificate. Any paper documents are destroyed.

If you have booked through a third party agent for your training, we will share your Pupil Record Sheet, a copy of your test pass certificate and/or DL25 with them.

We would like to retain these documents and your details on our computer systems for a period of 12 months from your finish date, for the purposes of confirmation of attendance and the fulfilment of our services to you/your employer/agent.

Social Media

We are proud of all our students who obtain additional licences and have trained hard to get them. On occasions our instructors may ask to take pictures of you whilst training or once you have passed your driving test. RSM will share these pictures on its social media platforms such as Facebook, Twitter, LinkedIn and Google+. We may also use the images for promotional material or for use on our website in future.

We will not take any pictures without your knowledge or consent. By allowing us to take a picture you agree your consent and that of your employer/booking agent (if applicable) that the image is the property of RSM and can be used in the capacity detailed.

You have a right to contact us at any time after consent and or photo is taken and published and ask for it to be removed and destroyed.


 For the purpose of crime prevention, RSM’s training depot has CCTV surveillance operating 24 hours per day. Signs are clearly displayed. Requests to view footage can be made to the Office Manager.

Marketing Preferences

We feel its important to keep our customers up to date with news, whether it be from us, the DVSA or other industry organisations or to contact you to remind you of upcoming expiry dates of your CPC hours, but we understand that once your training with us finishes you may prefer not to receive such news and that’s why we will give you the option to opt in or out to this service. You can make us aware of your preferences by ticking the relevant box on your ‘Pupil Record’ sheet.

We only keep data for a year after training completion so we will contact you after this time to see if you still wish to remain on our marketing system if you have opted in.

You can change your preference at any time by contacting us.

Your rights

There are many rights that you have regarding your personal data, including seeing what data we hold on you and requesting to see this at any time.
